You can now generate different files based on the response submitted. Form Publisher will create the file that you've selected for each submission, and the form answers. Please read this tutorial to learn more about this feature.
You can now link multiple templates to Form Publisher and select which one will be generated based on the answer to a question from your form.
Each template can be configured with its own Form Publisher settings. For example, you can either decide to send templates to different email address or to the same recipient.
This tutorial will show you how to use this feature with Form Publisher.
What you'll learn
In this tutorial, you will learn how to automatically generate different documents depending on the form responses.
Time to complete
Between 10 min & 15 min to set up if all your templates are already created. Otherwise it depends on the complexity of the templates you wish to use.
Running a simple example
In our example, we will show you how to configure a customer satisfaction form and bug report form in the same form.
1. Configure the Google Form
First create your Google Form, and collect user information like email and name. Then add two different sections:
- One section for the bug report
- The other one for the customer satisfaction part
Note: When a respondent is redirected to one section to continue filling the form, it means that only one section is filled each time the form is submitted. Thanks to this conditional templating feature, any blank section will be skipped in your generated file as we will only generate the document corresponding to the specific section (and not the one that the respondent didn't fill).
2. Configure Form Publisher for the customer satisfaction template
You can now configure Form Publisher on your form and select your template. In our case we reuse the customer satisfaction template which looks like this:
Configure the sharing options so that the customer service receives the feedback:
Once done with your first template configuration, set up the second template.
3. Configure the condition of the additional template
Open 'Add new template' from the Form Publisher menu, and click 'Get started'
You have now access to this new menu where you can set up the template that will be created based on the answer to the form:
In our example, we want to generate the customer satisfaction or the bug report template depending on the multiple choice question 'What do you want to do?'
Select this MCQ in the 'Questions' field from the additional template sidebar:
All the possible answers are then listed behind 'Condition', so simply select the one you want ('Report a bug' in our example):
Form Publisher will generate document as follows: If the respondent answers 'Report a bug' to the multiple choice question 'What do you want to do?', Form Publisher will generate the 'Report bug' file, otherwise it will generate the 'Customer satisfaction' file.
4. Configure Form Publisher for the support ticket template
Open the newly created form by clicking the link in the sidebar (in our example, 'Connected to Customer satisfaction'):
Select the bug report template (or your second template) that looks like that:
Configure the sharing options so that our support service receives the ticket:
We are now ready to use our form.
Testing the example
We just need to share the first form link.
Form Publisher will then generate the needed file:
If we fill the customer satisfaction part of the form:
It will generate the Customer Satisfaction file:
And if we fill the bug report part of the form:
It will generate the Bug report file:
